Chinook School
of Music Policies

  • TUITION

    Monthly tuition fees are withdrawn on the 1st of each month.

    A method of payment is required on your account at the time of registration. Methods of payment: Visa, MasterCard, Amex, Visa Debit, or by request, Post dated cheque.

    New students starting lessons part way through a month will have their first and/or last month's fee pro-rated based on the number of lessons remaining in the month. Regular monthly rates will commence on the 1st of the following month.

    Students may book additional lessons at a per lesson cost.

    The annual, non-refundable enrollment processing fee is $35 per student per year.

    The group program placeholder fee is $25 per student.

    Seniors ages 65+ qualify for a 10% discount on books and tuition.

    STUDENT ABSENCES

    No refunds, credits, rescheduling or make-up lessons are available for student absences. If a student misses a lesson, the student forfeits the lesson.

    FLEX LESSONS

    Flex lessons can be purchased in packages of six lessons or more. They are non-refundable and never expire. Flex lessons can be rescheduled with 48 hours notice or are otherwise forfeited. No credits are issued for unattended scheduled flex lessons. Flex lessons can be transferred to another student or family member.

    LESSON WITHDRAWALS

    Written notice of four lesson weeks is required to withdraw from lessons between September 1st and April 25. Please note, this is a four lesson week policy, not a four calendar week policy. The student may continue to take their lessons up to and including the final lesson date. No refunds will be issued for lessons after April 25 for the remainder of the school year. Students may continue to take their lessons up to and including the final lesson date. Your account will be reviewed to determine your final payment based on the number of lessons you have received and the number of lessons you have paid for.

    GROUP PROGRAM WITHDRAWLS

    Group programs are non-refundable after the fourth class. Refunds requested prior to the fourth week are subject to a $50 administration fee. Refunds, credits, and make-up classes are not provided for student absences. EXCEPTION: Refunds are not available after the first class for the following group programs: Music Kids, Rock Bands, Adult Campfire Guitar, Fireside Ukulele, Piano & Song Club, String Collective, Adult Performance Group. Refunds issued prior to the first class are subject to a $50 administration fee.

    TEACHER ABSENCES

    Teachers may schedule a substitute teacher from time to time. If a student cancels or does not attend a lesson scheduled with a substitute teacher, the lesson is forfeited. Any lessons canceled by the instructor will be made up at a mutually agreeable time. If a student cancels or does not attend a scheduled makeup lesson, the makeup lesson is forfeited.

    HEALTH & WELLNESS

    In-person lessons are not available to students who are experiencing cold or flu symptoms.

    In-home lessons are not available if the student or anyone in the household is experiencing cold or flu symptoms.

    An online lesson will be available at the student's regular scheduled lesson day and time provided that the student has given their teacher prior notice. Online lessons may also be offered if your instructor is ill.

    Should a student display signs of sickness during their lesson time, their parent/guardian will be contacted to pick them up.

    Students are encouraged to wash their hands before each lesson and class.

    COMMUNICATION

    Chinook School of Music uses text and email for school notifications and updates. Please ensure that info@chinookschoolofmusic.com is in your contact list to receive emails from our institution. At any time, if you wish to unsubscribe from our emails and newsletters, you may do so by clicking the unsubscribe button. Please note that by doing so, you may miss important information regarding your lessons, performances and registration dates.

    SAFETY

    Students must be escorted by an adult to and from the building. Children cannot be left unattended. Parents/Guardians may sign a waiver to allow students 12 years and older to enter and exit the premises unescorted.

    Chinook School of Music is a nut free environment.

    STUDENT CONDUCT AND PARTICIPATOIN

    To maintain a safe and respectful learning environment, participation in lessons or classes may be declined if a student’s condition or behaviour interferes with their ability to engage appropriately, including where there are reasonable indications of impairment due to alcohol or drugs.

    GOVERNMENT MANDATED CLOSURES

    Should a government mandated closure of Chinook School of Music occur, all in-person lessons will continue online. Refunds and make-up lessons will not be available for any student who refuses an online lesson that has been scheduled in place of an in-person lesson due to a government-mandated closure. Students may withdraw from lessons and classes at any time with one month’s written notice.

    LIABILITY

    Chinook School of Music, their directors, officers, employees, agents, volunteers, contractors, and representatives are not liable for any damages, injuries, illnesses or claims relating to or arising from participation in music lessons, classes or performances or through entering and leaving the premises or facilities.

    ACTS OF GOD

    Although Chinook School of Music expects to operate for the full duration of the school year, Chinook School of Music shall be under no liability for failure to deliver services in circumstances beyond the control of Chinook School of Music including but not limited to Acts of God (including, flood, storm, pandemic or other natural disasters), acts or regulations of public authorities, and political or social upheavals.

    Chinook School of Music policies are subject to change at any time during the school year. Notice of changes will be provided to students through our newsletters.

  • These policies are designed to ensure an optimal home learning environment:

    Due to inclement weather, traffic conditions etc., flexibility is needed with scheduling. Exact in home lesson times are not guaranteed.

    Chinook School of Music organizes in home teaching schedules based on geographical location. Lesson times may be adjusted at any point during the year in order to ensure efficient driving schedules for instructors.

    An adult must be present in the household at all times.

    In-home lessons are not available if the student or anyone in their household is experiencing cold or flu symptoms. An online lesson will be available at the student's regular scheduled lesson day and time provided that the student has given their teacher prior notice (before noon) on the day of their lesson.

    Lessons must take place in a quiet space, free from distractions and interruptions by such things as television, video games, siblings, pets etc.

    Be sure that instruments are well-maintained and appropriate for lessons.

    Please contact Chinook School of Music before noon on the day of your lesson if you are unavailable for your lesson.

  • Fall, Winter & Spring Sessions

    Music Kids sessions are 10 weeks in length. Classes are 45 minutes long.

    The session fee is $220 per student. This fee is pro-rated if you enroll after the session start date.

    The siblings fee is $187 per student and is designed for families of 2 or more children in the same class. The siblings class is open to children, 6 months to 5 years of age. Single student registrations are accepted into siblings classes for a fee of $220 per student.

    Classes for students ages 3 and up are parent free. For some children, this will be their first experience in a parent-free class - a significant milestone! In our experience, children who are initially hesitant to separate from their parents or caregivers usually settle within the first 10 minutes of class. We kindly ask that parents refrain from attending, as the presence of even one parent can prompt others to want their parents as well.

    Free Parking is available at both of our locations in our parking lot and on the surrounding streets.

    Drop-in classes are not available at this time.

    Music Kids Refund Policy:

    This program is non-refundable after the first class of the session. Refunds issued prior to the first class are subject to a $50 administration fee. Students wishing to permanently transfer from one Music Kids class to another during a session may do so provided that space is available.

    Music Kids Health & Safety

    • Classes are not available to children and parents experiencing cold or flu symptoms.

    • Surfaces are disinfected between classes.

    • Please note, health and safety protocols for Music Kids are subject to change at anytime. All updates will be communicated to registered families via newsletter and/or emails.

    Music Kids Classroom Policies

    General Classroom

    • Please do not attend class if you are experiencing cold or flu symptoms.

    • A supervising adult must be present with each child for all parented classes. We ask that only one caregiver attend with each child at this time.

    • No outside food, drink or toys in the classroom. Please leave beverages outside of the room. Chinook School of Music is a nut-free facility.

    • If your child is upset or disruptive during class, please leave the classroom until your child is calm. 

    • Due to allergies, no perfume or strong scents are allowed in the classroom.

    • Parents, please refrain from social conversations during class as well as texting and answering cell phones.

    • Diaper changes may be done in the washroom in the main hallway.

    Clothing

    • Outside footwear must be removed at the door.

    • To avoid slipping, please dress your child in indoor shoes or slippers that grip.

    • Be sure to wear clothing that is comfortable for maximum mobility.

    Siblings

    • Siblings who are young enough to sit in a car seat may attend the classes. Once the sibling is mobile, please make alternative arrangements.

    Attendance/absences

    • Please do not arrive for class more than 5 minutes prior to start time. 

    • Classes will start and finish on time. If you are late, do your best to minimize the disruption to the class already in progress. 

    • Make-up classes are not available.

    • There will be no refunds for missed classes.

    • Although Chinook School of Music expects to operate the facilities during the term of this agreement, Chinook School of Music shall be under no liability for failure to deliver services in circumstances beyond the control of Chinook School of Music, including but not limited to, Acts of God (including fire, flood, storm, pandemic, or other (natural disasters), acts or regulations of public authorities, and political or social upheavals.)

    Communication

    Chinook School of Music uses e-mail as our primary mode of communication. Please provide us with your e-mail addresses, including those of all relatives or caregivers attending class. Hard copies of our information are available. If you did not receive an email from us yet, please update your email address with us at your earliest convenience.

    Parent-free classes (3 - 5 Year Olds)

    • Please drop your child off no sooner than 5 minutes before class begins.

    • Please arrive to pick up your child two minutes prior to the end of class. The children will be kept in the room until contact with their caregiver is made.

    • Have your child visit the washroom prior to class.

    • For some children, this will be their first experience in a parent-free class - a significant milestone! In our experience, children who are initially hesitant to separate from their parents or caregivers usually settle within the first 10 minutes of class. We kindly ask that parents refrain from attending, as the presence of even one parent can prompt others to want their parents as well, creating a domino effect.

    Materials

    • Supplemental materials are provided throughout the term as needed.

    • Instruments and books used in the class are available to purchase through the school on the second level. Purchase instrument kits on this page and pick them up at your first class!

    Government Mandated Closures

    Should a government mandated closure of Chinook School of Music occur, all Music Kids classes will continue on a virtual platform.
